Bidovate ("we", "us", "our") wants you to be fully satisfied with our Service. This Refund Policy outlines the terms under which refunds are issued for subscriptions to the Bidovate AI-powered procurement intelligence platform, in compliance with EU and UK consumer protection legislation.
Your Right of Withdrawal (EU Consumer Rights Directive 2011/83/EU)
If you are a consumer within the European Union, you have the right to withdraw from a distance contract within 14 days of purchase without giving any reason, in accordance with the Consumer Rights Directive 2011/83/EU.
How to Exercise Your Right of Withdrawal
- Send a clear statement of your decision to withdraw to support@bidovate.co
- You may use the model withdrawal form provided at the end of this policy, but it is not obligatory
- The withdrawal period expires 14 days after the day of the conclusion of the contract
Effects of Withdrawal
- We will reimburse all payments received from you without undue delay and no later than 14 days from the day we receive your withdrawal notification
- Reimbursement will be made using the same payment method you used for the initial transaction, unless you expressly agree otherwise
- If you requested that the Service begin during the withdrawal period and subsequently withdraw, you shall pay an amount proportional to what has been provided up to the point you communicated your withdrawal
Waiver of Withdrawal Right
If you expressly consent to the Service beginning during the withdrawal period and acknowledge that you lose your right of withdrawal once the Service is fully performed, the right of withdrawal may be waived in accordance with Article 16(a) of Directive 2011/83/EU.
UK Consumer Rights Act 2015
For customers based in the United Kingdom, your statutory rights under the Consumer Rights Act 2015 apply in full. Nothing in this policy affects those statutory rights. If you have a query about your statutory rights, please contact support@bidovate.co.
Subscription Plans
Our Service is offered on a subscription basis:
- Annual subscriptions: Billed once per year at a discounted rate
- Enterprise plans: Custom billing as specified in your enterprise agreement
All prices are quoted in Euros (EUR) or Pounds Sterling (GBP), exclusive of VAT. VAT is applied in accordance with applicable EU and UK tax regulations.
Pro-Rata Refunds
Beyond the 14-day withdrawal period, pro-rata refunds may be available:
- If you cancel your subscription, a pro-rata refund for the unused portion of the current billing period may be issued at our discretion
- Refunds are calculated based on the number of full days remaining in the billing period
- Refund requests must be submitted to support@bidovate.co
Subscription Cancellation
You may cancel your subscription at any time:
- Through your account settings in the platform dashboard
- By contacting support@bidovate.co
Upon cancellation:
- You retain access to the Service until the end of your current billing period
- No further charges will be applied
- You may export your data within 30 days of the end of your billing period
- After 30 days post-cancellation, your data will be permanently deleted in accordance with our Privacy Policy
Billing Accuracy
If you believe you have been charged incorrectly:
- Email support@bidovate.co within 30 days of the charge
- We will investigate and respond within 2 business days
- Any confirmed billing error will be refunded in full, promptly
Enterprise and Custom Plans
For customers on enterprise or custom plans, refund terms are governed by the specific enterprise agreement. Contact your account manager or support@bidovate.co.
Non-Refundable Items
The following are not eligible for refund:
- One-time setup or onboarding fees, where applicable
- Custom development or integration work performed at your request
- Consumed AI processing credits beyond the subscription allocation

Statutory Rights
Nothing in this Refund Policy affects your statutory rights under applicable consumer protection legislation, including the Consumer Rights Act 2015 (UK) and EU consumer protection directives, including Directive 2011/83/EU.
Changes to This Policy
We may update this Refund Policy from time to time. Changes apply to subscriptions purchased or renewed after the effective date.
